From brief to arrival

A clear path from an idea to a confirmed journey

A bespoke golf trip should become more specific at every stage. These are the checkpoints between an initial enquiry and travel.

01Before a proposal

Planning brief

We collect travel dates, gateway cities, group size, handicaps, room preferences, course priorities and non-golf interests.

  • Dates and flight assumptions
  • Golf and hotel priorities
  • Mobility, dietary and special requirements
02Reality check

Feasibility review

The route is tested against transfer times, seasonal conditions, likely access channels and the pace appropriate for the group.

03Design

First itinerary

You receive a coherent route with proposed courses, hotel level, transport plan, cultural elements and the key assumptions still to verify.

04Before commitment

Supplier confirmation

Availability, access, inclusions, payment terms and cancellation rules are checked with the relevant providers for the requested dates.

05Decision point

Dated proposal

The quotation records what is included, excluded, requested or optional, plus the payment schedule and material supplier conditions.

06After approval

Booking and payment

Payment is made only against the dated proposal or booking agreement. We record the payment recipient, relevant deadlines and any services still awaiting confirmation.

07Before departure

Pre-arrival reconfirmation

Time-sensitive tee times, hotel details, transfers, traveler information and outstanding supplier conditions are checked again before travel.

08Delivery

On-trip coordination

The final travel documents identify operating contacts and the response path if timing, weather or supplier conditions change.

When is a trip confirmed?

A website enquiry or sample itinerary is not a booking. Confirmation occurs only when a dated proposal or booking agreement states the confirmed services and the required payment has been received under those terms.
